1. Travel Insurance

Comprehensive travel insurance is mandatory for all clients. Your policy must cover:

We require proof of insurance before departure. You are responsible for understanding your policy’s coverage and exclusions.

2. Permits & Documentation

Many of our tours require special permits, particularly in restricted regions like Tibet, parts of Nepal, and Bhutan. We will arrange these on your behalf. However, we are not liable for delays, rejections, or additional costs resulting from changes in government regulations, incomplete documentation, or incorrect personal information provided by you.

It is your responsibility to ensure your passport is valid for at least six months beyond your travel dates and that you hold any necessary visas.

4. Booking for Tibet Tours

Tours to Tibet require special permits and arrangements, which must be processed well in advance. Booking confirmation for Tibet is subject to permit availability from the relevant Chinese authorities. We recommend booking at least 60 days prior to your intended travel date. Trek O Clock is not liable for any delays or cancellations resulting from permit rejections or changes in government regulations.

5. Cancellation by Client

Cancellation charges apply from the date we receive your written notification:

No refunds will be issued for unused services (accommodation, meals, transport, etc.) once the trip has commenced.

We are not liable for additional expenses incurred, such as international flights, visa fees, or other travel arrangements.

7. Postponement

If you wish to postpone your trip, you must notify us in writing at least 30 days prior to the departure date. Postponement is subject to availability and may incur additional charges. If you postpone within 30 days of departure, standard cancellation charges will apply, and any remaining balance may be applied toward a future trip at our discretion.

8. Flight Delays & Cancellations

Flight delays and cancellations are common in mountainous regions (Everest, Annapurna, Langtang, Tibet, and other remote areas), particularly during adverse weather. We recommend carrying additional funds for accommodation, meals, and other expenses that may arise. Trek O Clock is not responsible for any additional costs incurred due to flight schedule changes.

9. Health & Fitness Requirements

Many of our tours involve physical activity at activity at altitude, including trekking, rafting, and other adventure sports. It is your responsibility to:

We reserve the right to prevent a client from joining a trip if we believe their health or fitness poses a safety risk to themselves or others. No refund will be provided in such cases.

10. Risk & Liability

Trekking, rafting, safaris, and adventure activities involve inherent risks, including but not limited to:

Clients participate at their own risks. Trek O Clock, its guides, staff, and partners are not liable for any injury, loss, damage, or death arising from these activities. By booking with us, you acknowledge that you understand and accept these risks.

We expect all clients to behave respectfully toward guides, staff, fellow travelers, local communities, and the environment. We reserve the right to terminate your participation without refund if you:

We collect personal information (name, contact, details, passport, health information) solely for booking and operational purposes. 15. Third-Party Bookings

If you book through a third-party agent or platform, you are subject to their terms in addition to ours. Trek O'Clock is not liable for any issues, losses, or miscommunications arising from external bookings.

We strive to keep our website accurate and up to date. However, we are not liable for any loss or misunderstanding resulting from updates, modifications, or temporary inaccuracies. We reserve the right to change itineraries, prices, and policies without prior notice.

By booking a trip with Trek O Clock, you acknowledge that you have read, understood, and agreed to all of the above terms and conditions.
